Job Description and Responsibilities:

The Executive Assistant is responsible for providing assistance to their Direct Leaders. Assistance which can include:

Job Responsibilities:

*Utilizing manual or computerized office equipment; performs a full range of secretarial duties acting on own initiative.

*Answers telephone calls and handles inquiries; decides how to respond to calls and inquiries and also makes the decision on which calls / inquiries the Executive should handle and which calls / inquiries can be handled by the Executive’s direct reports.

*Prepares Executive expense reports; checks and processes staff expense reports.

*Manages Executive’s calendar; coordinates meetings and teleconferences.

*Coordinates departmental events, e.g. staff appreciation functions.

*Create and distribute meeting agendas and minutes.

*Transcribe recorded meetings / interviews.

*Make travel arrangements for Executives and support staff.

*Set-up accommodation and entertainment arrangements for guests when requested.

*Handles confidential files, materials, correspondence, etc.

*Writes and prepares correspondence.

*Composes internal communications.

*Communicates with Executives and line management to gather or convey relevant information.

*Provides specialized administrative support of a non-routine, non-repetitive nature to relieve and assist Executive of complex details and administrative duties (i.e., coordinates and maintains effective office procedures and efficient work flow; establishes and maintains harmonious working relationships with superiors, co-workers, clients and suppliers).

*Interfaces with executive staff ensuring a high level of confidentiality and discretion.

*Maintains a close and highly responsive relationship to the day to day activities of an Executive.

*Performs a wide variety of miscellaneous duties as requested by Executive.

Job Requirements:

*Preferred 5 years’ experience in an administrative position, with at least two years in a role of Executive support.

*Must possess outstanding organizational, interpersonal, and administrative skills, as well as excellent attention to detail.

*Minimum typing speed of 40 WPM.

*Requires intermediate to advanced proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook)

*Exposure to sensitive information and must use considerable tact, diplomacy and judgment.

*Ability to work in a fast-paced/multi-tasking environment.

*Must possess excellent communication skills.

*Requires a willingness to work occasional overtime and weekends.

*Must be able to work proficiently with deadlines and disciplined to work without constant guidance and supervision.

*Must be able to obtain and maintain any licensing or active work cards required, at present or in the future, for this position at all times.

*Must be 21 years of age or older.
