The Aviation Operations Specialist is responsible for domestic and international flight scheduling, to include fuel planning, crew scheduling and ground handling of the aircraft. The Aviation Operations Specialist will operate in a manner that remains in compliance with company procedures and meets government regulations.

Job Responsibilities:

  • Coordination and support of flight crews in the planning of all domestic and international flight
  • Ensures all crew members are accurately briefed of any and all duties assigned by the Flight Operations department in accordance with company policies and procedures, Federal Aviation Regulations, and department guidelines
  • Schedules and plans executive travel on the company aircraft in compliance with FAA and company regulations
  • Maintains department records to include flight logs, passenger manifests and vendor files
  • Ensures that aircraft schedules meet with any airport/airspace restrictions
  • Coordinates aircraft handling with fixed based operations (ex: International trash and Customs)
  • Provides and maintains excellent service to all customers, internal and external
  • Assists with the obtaining for both passengers and flight crew any necessary permits, and/or visa applications required for flying into and out of foreign countries
  • Monitors and tracks crew and passenger passport and visa expirations
  • Maintains records of FAA medicals for crew members
  • Maintains and updates aircraft and crew schedules
  • Ensures required trip sheet and all other trip documents are sent to and received by appropriate departments
  • Establishes and maintains positive working relationships with outside vendors to include logistical support, i.e., fixed based operators, handlers, ground transportation, caterers, etc.
  • Assists with and coordinates service, aircraft handling, crew transportation, crew hotels, and other passenger amenities
  • Performs schedule brief and debrief with flight crews to share information regarding passenger needs or requests
  • Maintains evolving company Policies and Procedures manual and emergency response plan
  • Maintains positive working relationships with Executive officers and their Assistants
  • Is responsible for accounting services and managing costs, SIFL/ auditing and report generation, including coding and submitting invoices for payment, processing chargebacks and completing month end reconciliation
  • Assists with the coordinating of crew training to best accommodate flight Schedule
  • Acts as an effective liaison between management and flight crew
  • Coordinates scheduled and non-scheduled aircraft maintenance with the Maintenance Department
  • Schedules flight crew to ensure compliance with company and FAA regulations regarding currency, flight and duty times, including balancing work load and ensuring work/life balance
  • Provides administrative support to the department

Job Requirements:

  • Experience in flight crew scheduling strongly preferred but not required.
  • 2+ years of experience with Aircraft Charter preferred but not required.
  • 2+ years of customer service required.
  • Knowledge of BART scheduling software is highly recommended.
  • Proficient in all areas of Microsoft Office.
  • Proficient in general office duties (answering phones/computers/printers/fax)
  • Must be willing to work a 6 on/3 off schedule which includes shared 24 hour on calls and must be flexible during peak periods.
